How to automate the accounting of employees' working tims?

A time tracker – one of the simplest tools for tracking the activity of a company employee on a computer. How does it work? We install the program on the computer that the employee is working on, and it starts taking screenshots of the screen every minute, after which, based on various factors, the robot determines whether any operations are performed on the computer or not, thus fixing the working time.

How does a keylogger calculate total working time?

The total accounting of working time with the help of a keylogger is calculated in real time. That is, for example, if an employee does not press the keys on the keyboard for a certain time, then no actions take place, therefore, working hours do not need to be counted during this period.

Time tracker and screencaster - what's the difference?

The working time tracker differs from the screenshot tracker in the presence of a function for calculating working time. Thus, the screenshot tracker simply takes screenshots and sends them to the specified channel for control, and the working time tracker determines on the basis of these screenshots whether the working process at the monitored moment of time is in progress or not.

Why do need a time check to organize time tracking?

When organizing timekeeping, there are sometimes situations or workflows, in which it is impossible to say with certainty on the basis of a screenshot or keylogger that the workflow is not running – for example, the employee is thinking at the time. Therefore, it is possible to use a check sent at a random time, a so-called time check, to which the employee has to respond within a certain time. If there is a response to the time check – then the work process is going on.

Automation of time tracking and survey bot - what is it?

To automate time tracking, there is a practice of polling employees with a bot – at the beginning of the working day, at the end of the working day. Usually the bot asks questions: what will you do today, what do you plan to finish before the end of the day, what was done today?

After receiving the employee’s answers, the bot checks the facts, for example, with a screenshot, or a keylogger, after which it gives the data to the timetracker bot to set working hours for the employee.


The remote employee’s time tracking system can be implemented using RPA robots, while the company does not need to implement any new software other than robots. Note that robots in this case will act as a link between different systems, integrating them with each other, or supplementing them with new automatic functionality.

When implementing such a system, it is necessary to understand that modern
systems have not yet reached a level where it will be possible to use biometrics to authenticate remote workers. Keeping records of production, developing a work schedule for remote collaboration without the use of automation tools can be a very difficult task, even if we talk about one day of work.

The documents that will need to be created and filled out during daily monitoring, using human labor, can be relatively time-consuming. Also, if the employee will be on a business trip, he or she will most likely be out of control, as his or her day will most likely be irregular. Agree that it is difficult to track part-time work and determine how much should be payable as a result of such work.

The organization of timekeeping, the primary documentation of personnel cards in the enterprise by the employer can be a complex work process. Overtime, calculation of piecework pay (here it is important not to cheat neither the employee nor yourself), the total calculation every day – here the timer may not even help, because in these calculations you need to put a lot of work.

Let’s see how this happens with remote employees who work in this mode all the time. For example, for a freelancer, who is often paid by the hour, the electronic calculation of working time most often occurs using a time tracker. In fairness, it should be noted that this method is not always suitable for tracking the working hours of an employee with whom you work on an ongoing basis.

Therefore, since the work schedule for different employees is different, and the tasks, the way they are performed are different, it is necessary to use different time tracking systems. It is important to understand that an incorrectly selected assessment of working hours can lead to a decrease in employee productivity, and vice versa. Also, sometimes it is more efficient to implement and use automatic tools.
